Position Summary
Supports the Technical Center by managing chemical inventory, coordinating purchasing and shipping activities, maintaining facility operations, and providing administrative support to ensure compliance, efficiency, and a positive team environment.
Principal Duties & Responsibilities
Purchasing
•Generate and process purchase requisitions in Oracle (chemicals, supplies, equipment, vendors, contractors, etc); ensure vendor setup and invoice coding for payment through Basware or PCard.
•Reviews, analyzes, and maintains Received but not Invoiced and Receiving Inspection accounts for Fairmount Technical Center; investigates and initiates corrections, reaching out to corporate and plant resources as needed to appropriately resolve issues.
•Enter receiving receipts into Oracle for incoming supplies and materials.
•Print invoices sent via email & pull invoices that must be retrieved online; scans all non-PO related invoices into Basware; codes & pays non-PO invoices.
•Monitors weekly Basware report for possible issues/problems; follow up as needed.
•Speaks to vendors to resolve payment status of past due invoices (frequent calls / emails).
•Coordinate pickup/deliveries with 3PL team for freight shipment activities. Coordinate deliveries for FedEX, UPS, DHL.
Inventory Management (Chemical, Laboratory and Office) and EHS&S
•Maintain and update chemical inventory; purchase and receive chemicals, label, record details in Excel, and ensure SDS documentation is current.
•Coordinate chemists, EHS&S and vendors to facilitate proper disposal of chemicals.
•Order and maintain inventory of laboratory, office and packaging supplies.
•Conduct quarterly inventory reviews and work with EHS&S and vendors for proper disposal of outdated chemicals.
Customer Sample Requests
•Process Sample Request for all North American Products through Salesforce (600+ per year).
•Monitor offsite sample warehouse inventory and coordinate restocking with Huber locations.
•Communicate with Sales Team regarding status of sample requests.
Site Maintenance
•Coordinate with vendors for janitorial, landscaping, security, and other facility services.
•Manages Facility invoices (utilities/phone/internet), monitors for payment, and communicates with Basware team.
•Maintain communication screens (MVIX) and assist with facility maintenance scheduling.
•Sort mail, direct calls, and manage Concur expense reports.
•Complete weekly and monthly reports (e.g., sample requests in Ganttic).
•Maintain cleanliness of assigned areas and ensure security alerts are addressed promptly.
•Perform additional tasks as assigned.
Specialized/Technical Knowledge or Required Skills
•High School diploma required; experience with inventory management preferred.
•3–5 years of administrative experience preferred.
•Strong organizational, time management, and multitasking skills.
•Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Oracle systems.
•Excellent communication and interpersonal skills.
•Attention to detail.
