Position Summary

Responsible to interact with Logistics and Planning group to ensure coverage and flow of logistics processes. Principle duties and responsibilities outlined below to include notification of raw materials received, reports and information to logistics manager. Coordinates with Fairmount Quality lab to verify that proper documentation is accompanied with each outbound shipment. Facilitates monthly data to support EFS by ensuring correct late codes and carrier information is entered into system.  Backup for clerks for processing customer shipments and internal movement of production goods as well as ensuring that trucks are routed appropriately to the correct area for loading and ensures accuracy of the shipping schedule.

Principal Duties & Responsibilities

  • Assist in CI functions in the shipping department per assigned rotating schedule.
  • Assist in Waste Walks, document findings and follow-up on previous items, per assigned rotation schedule.
  • Assist in RCA, Kaizen and P4P goals.
  • Knowledgeable of the ISO quality system as required to ensure compliance to the ISO 9001 quality standard.
  • Manage exception messages daily, ensuring actionable messages are completed same-day
  • Initiate work orders from Oracle Supply Planning Cloud
  • Evaluate Planning Master Data values in Oracle Cloud for accuracy and relevancy and update in Oracle EBS when required.
  • Supports the Logistics Manager to refine Planning Master Data values in Oracle to improve the relevancy of Supply Planning recommendations (e.g., safety stock values, lead times, order modifiers)
  • In absence of the Logistics Manager, participate in and represent plant site in the Supply Planning meetings, leveraging Oracle Supply Planning Cloud as the data source.
  • Drive continuous improvement in the process and application usage.
  • As part of Oracle and Supply Chain Planning learn Month end Inventory procedures and manage offsite warehouse inventory in coordination with Logistics Manager and communicate any changes, discrepancies, damages, or concerns.
  • Must be willing to learn how to process Basware invoices and fill-in for vacancies.
  • Oracle Production Planning Scheduling as well as Oracle and learning Supply Chain Production Planning Schedule        
  • Provide courteous service while waiting on drivers, vendors, and other visitors in person, via email and on the phone. (CSR, Dispatchers, Drivers, etc.)
  • Routes drivers to correct location - silo or dock - for proper loading and unloading of product.
  • Review and E-mail RTP Report.
  • Assist in assigning shipping operators loads for the day.
  • Assisting with month-end closing spreadsheets and data entry.
  • Answer and direct phone calls to correct personnel.
  • Responds to e-mails pertaining to the Logistics and Operations Administrative Office. 
  • Ensure that all instructions are followed on work orders such as:  COA’s are given out as required, BOL’s are emailed to customers as needed, seals are used.
  • Assist in filling in tasks for co-workers’ absences.
  • Using the item number on the summary per order and oracle to locate the product to the docks.
  • Runs Open Sales Order report for ship confirmed (if needed).
  • Maintains the Employee Production Summary on a rotating schedule.
  • Creates any inter-org transfers for material that are needed to be shipped to or from MSL, FMT, or from KEN if supply chain program does not plan.
  • Includes maintaining the crude chemical sheet for visibility of delivery dates for internal RM products are set to deliver to each location.
  • Maintains EFS reporting, attends EFS review meeting via Zoom.
  • Scans Shipping Documents to assigned folders in share driver.
  • Uploads Container and shipment photos to customer folders for record purposes
  • Participates in department meetings.
  • Maintain the TMS Dock Scheduling System by adding tractor numbers for all pre-paid loads.
  • Any other task that may be given

Specialized/Technical Knowledge or Required Skills

  • High School Diploma or GED equivalent required. 
  • Minimum of 2 years office administration experience preferred.
  • Experience in shipping is strongly preferred.
  • Must be able to handle multiple duties at once. Interacts with customers, shippers, truckers, management, and plant personnel all in the same time frame.
  • Must have strong computer skills.
  • Must be able to communicate both written and verbally with all levels to include customer service, customers, management, peers, vendors, and plant personnel.
  • Must have ability to read and understand English.
  • Identify opportunities and driving productivity improvements
  • Works in an office environment – climate controlled for 50%
  • Expected to be willing to assist in plant walk throughs – uncontrolled climate.
